The Family Letter
A short, considered note you can adapt — printed on your own stationery, handed to the Executive Director at a family visit, or emailed to the community's Life Enrichment lead. Three paragraphs. Nothing more is needed.
A quiet, personal note from a family member carries weight that no vendor pitch ever will. Communities take the concerns and preferences of engaged families seriously — particularly when those concerns are put in writing, briefly, and with respect for the Executive Director's time.
What follows is a template. It is meant to be adapted, cut, and personalised. Fields in gold are placeholders — replace them with your own detail. If a paragraph feels wrong for your situation, remove it; one strong paragraph does more than three uncertain ones.

My father, Name, has been a resident at Community Name since Date. He is a man of habit and standards, and I have been quietly looking for a way to preserve those standards in the small, weekly way we all do at home. A well-kept appearance was one of the ways he showed care for himself and for the people he met — and I would like to help him keep that habit here.
I recently learned of The Prestigious Cut®, a resident experience company that partners with senior living communities to deliver a professionally managed grooming programme for gentlemen. From what I have read, they are licensed, insured, and background-checked to the standards your community already asks of its vendors, and they operate as an on-site programme rather than a transactional service. I have attached the summary sheet I received from them, in case you have not yet encountered the company.
I would be grateful if you would consider whether such a programme might have a place at Community Name — either for my father alone or, if there is broader interest, as a community offering. Small edits, for particular situations.
For a Grandfather
Replace “My father” with “My grandfather” throughout. Consider adding a sentence about a habit or preference you remember from childhood — the smell of his aftershave, a particular pocket square. Specificity is what makes the letter land.
For an Uncle or a Longtime Friend
Open with the length and nature of the relationship (“My uncle, whom I have known all my life…”) so the Executive Director understands why you are the one writing.
For a Community with a Resident Council
Add a fourth short paragraph offering to speak with the council chair, if the Executive Director thinks the community's residents would benefit from the conversation.
For a Memory Care Setting
Mention that The Prestigious Cut® programme leads complete continuing dementia-care training. This is often the single fact that opens the conversation with a Life Enrichment lead in memory care.
One sheet, at most.
We recommend enclosing our one-page Partnership Overview along with the letter. It answers the practical questions an Executive Director is likely to have on first reading, and saves them the work of looking us up. Everything else can wait for the reply.
